About the Role:
We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to provide comprehensive support to an executive in both professional and personal capacities. This role will focus primarily on managing the work calendar and coordinating significant personal events and appointments. The ideal candidate is tech-savvy, an excellent communicator, and able to handle confidential information with discretion.

Key Responsibilities:

  • Work Calendar Management:

    • Proactively manage and maintain the executive’s work calendar, scheduling meetings, appointments, and events while ensuring all conflicts are avoided.

    • Coordinate with internal and external stakeholders to schedule and confirm meetings.

    • Set reminders and prepare briefings for upcoming events or tasks.

    • Assist in travel arrangements, including booking flights, hotels, and transportation.

  • Personal Event Coordination:

    • Assist in organizing significant personal events such as family gatherings, social events, and milestone celebrations.

    • Manage guest lists, invitations, RSVPs, and event logistics.

    • Coordinate personal appointments (medical, personal errands, etc.) ensuring seamless transitions between work and personal obligations.

    • Ensure the executive's personal schedule aligns with professional commitments, ensuring no overlap or missed engagements.

  • Communication & Correspondence:

    • Act as a liaison between the executive and various internal/external contacts.

    • Prepare and manage correspondence, ensuring messages are passed along timely and accurately.

    • Help draft and review emails, letters, and other forms of communication.

  • Confidentiality & Discretion:

    • Handle sensitive and confidential information with the highest level of professionalism and discretion.

    • Maintain privacy in dealing with personal matters and important events.

  • General Support:

    • Provide administrative support as needed, including filing, organizing digital documents, and preparing reports.

    • Help in ad-hoc tasks as required to ensure smooth functioning of both work and personal commitments.

Qualifications:

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role.

  • Exceptional organizational and time-management skills.

  • Strong communication skills (both written and verbal).

  • Tech-savvy, comfortable using various productivity tools (Google Suite, Microsoft Office, scheduling software, etc.).

  • Strong attention to detail and the ability to manage multiple tasks simultaneously.

  • Ability to maintain professionalism, even in high-pressure situations.

  • A proactive approach with the ability to anticipate needs before they arise.

  • Discretion and a high level of confidentiality are essential.

Preferred Qualifications:

  • Experience in event planning and coordination.

  • Background in project management or similar organizational skills.

  • A flexible and adaptable personality to accommodate changing priorities.
